Job Description

Position Title: Procurement Coordinator

Reports To: Procurement Manager

Employment Type: Full-time

Working Days: Saturday to Thursday

Working Hours: 9:00 AM - 5:00 PM

Location: Erbil


Job Summary

The Procurement Coordinator supports the Procurement Department by handling RFQs, maintaining records, tracking requests, and assisting with reporting and supplier coordination. This role ensures smooth administrative and operational flow within procurement activities.


Main Responsibilities

Administrative & Coordination Duties

• Support day-to-day procurement coordination activities

• Maintain procurement records and filing systems

• Track internal purchase requests and supplier responses

• Coordinate with departments regarding procurement needs


RFQ & Supplier Coordination

• Assist in preparation and follow-up of RFQs

• Communicate with suppliers to collect quotations

• Support supplier documentation and approval processes


Warehouse & Stock Coordination

• Coordinate with warehouses regarding stock levels and delivery updates

• Monitor open purchase orders and update tracking sheets

• Assist in ensuring accurate procurement records in the system


Payments & Financial Coordination

• Support tracking of supplier payments

• Assist in coordinating with Finance for payment processing

• Ensure documentation is complete for procurement transactions


Operational Support

• Assist in preparing comparison sheets and procurement reports

• Support procurement team with administrative and operational tasks

• Help manage procurement tracking tools and systems


Reporting

• Provide regular updates to the Procurement Manager regarding:

o RFQ status

o Supplier responses

o Purchase request tracking

o Administrative task progress


Qualifications and Requirements

• Bachelor’s degree in Business Administration or related field

• 0–2 years of experience (fresh graduates can apply)

• Basic knowledge of procurement processes

• Familiarity with MS Office (especially Excel)

• Good communication skills in Kurdish and English
